Your information

Privacy policy.

How we handle website enquiries, workshop and fellowship interest, and access to our private content editor.

Who is responsible.

Refuture Africa Studio, a business registered in Estonia, operates Refuture Africa and is responsible for the personal information described in this notice. Contact us at hello@refuture.africa. See business information for our company contact details.

Information we collect.

Our forms collect your name, email address and enquiry or programme interest. Optional answers may include your organisation, location, preferred theme, research or design contribution preference, funding preference, workshop choice, timing and budget. Name, a working email address and the required enquiry or interest fields are needed to send a form; other answers are optional.

Hosting services process technical information such as IP addresses, request times, browser information and security events. Our submission database holds confirmation references, submission and IP hashes, timestamps and delivery status. It does not hold copies of your name, email or brief.

The private editor processes the assigned owner’s ChatGPT user identifier and display name, content drafts, revisions and uploaded images. Uploaded images are accessible to anyone who knows their address: upload only material approved for public use. Please do not send confidential project material, patient information, medical records or other sensitive personal information through the public forms.

Purposes and legal bases.

We use enquiries to respond and discuss the work you asked about. Where you enquire about a contract for yourself, this supports steps you request before entering a contract. For professional enquiries on behalf of an organisation, collaboration requests, enquiry management and website security, we rely on our legitimate interests in responding to requests, operating our business and preventing misuse. We consider the effect on the people involved and you may object to processing based on legitimate interests.

Fellowship announcement registration is based on your consent to receive information about the relevant edition, its confirmed details and its application announcement. You can withdraw that consent at any time by emailing us. Withdrawal does not affect processing that was lawful before it. Workshop interest is used to follow up on the engagement requested.

Registering interest does not reserve a place, submit a fellowship application or create a payment obligation. It does not sign you up for unrelated marketing. We do not sell the enquiry list or use these forms for automated admission or selection decisions.

Service providers and transfers.

Submitted details are stored in our Website Leads base in Airtable. An internal notification containing the enquiry is sent to hello@refuture.africa, managed through Google Workspace. Access is limited through account permissions to people handling enquiries and programmes. An accepted website receipt confirms acceptance by the submission service; it does not guarantee immediate inbox arrival or a response time.

We use OpenAI’s Sites hosting and ChatGPT sign-in for the private editor, with Cloudflare infrastructure for website delivery, database and image storage, and security. These providers process information needed to supply their services. Following an external link subjects that visit to the destination’s own privacy practices.

Providers and their service partners may process information outside the European Economic Area. The location and safeguards depend on the service and account configuration. Where GDPR requires a transfer safeguard, the applicable provider agreement must provide an appropriate mechanism, such as an adequacy decision or standard contractual clauses. Contact us for information about the arrangements applicable to your data. We do not represent that all website or enquiry data stays in Estonia or the European Union.

How long we keep it.

We keep enquiries while handling the request or relevant follow-up. Fellowship interest remains relevant until the requested edition has been announced and the follow-up is finished, or you withdraw it. We review closed leads received at least twelve months ago and remove information no longer needed. The Airtable review flag prompts a human decision and does not automatically delete records. Active records also need review when an enquiry or programme ends.

Deletion reviews cover Airtable records, internal notification emails and other working copies. Separate project, contractual or financial records may be retained where needed to meet legal obligations or establish, exercise or defend legal claims. Retention depends on those purposes rather than an indefinite right to keep all form answers.

Technical submission receipts are removed on a later submission once they are older than thirty days. Unsaved editor recovery copies have no automatic expiry and remain in that browser until removed or cleared. Revision history keeps the latest 100 revisions per page, alongside current and original content. Downloaded drafts and backups are under the control of the person saving them.

Your rights and requests.

Depending on the circumstances, you may request access, correction, erasure, restriction of processing or portability of your information. You may object to processing based on legitimate interests and withdraw consent where consent is the basis. Email hello@refuture.africa with enough information to identify the relevant enquiry. We may need to verify your identity without requesting more information than necessary.

We normally respond within one month. If a legally permitted extension is needed for a complex request, we will explain it within that period. Some rights have conditions or exceptions; we will explain any information we must retain or request we cannot fulfil.

You may complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) through aki.ee, or to the competent supervisory authority in the country where you live or work or where an alleged infringement occurred.

Cookies, drafts and changes.

The current public site has no advertising trackers or analytics scripts. Necessary hosting security and editor sign-in cookies are described in our cookie and device-storage policy. Public form answers stay in the current tab for review and can be downloaded; the public forms do not persist answers in browser local storage.

The private editor can retain unsaved changes on your device for recovery. Avoid shared devices for private drafts. Signing out does not necessarily remove a device’s recovery copies. We will update this notice when these practices change.
